Appointment booking & reminders
Let customers book a slot in chat and get reminded automatically.
The booking module lets a customer book an appointment slot directly in WhatsApp. HexaFloww checks real availability, confirms instantly, and can send reminders and mirror the booking to Google Calendar. It's at /admin/whatsapp/booking.
How it fits together
- Service — a bookable appointment type (e.g. "Consultation"), linked to a booking Flow.
- Hours — per service: timezone, weekly availability rules, slot length, buffer, and how far ahead people can book.
- Bookings — the appointments themselves, each tied to the customer's real WhatsApp number.
Set up a bookable service

Create the service. Under
/admin/whatsapp/booking, add a service and link a booking Flow (start from the Appointment booking starter — see Flows). -
Set the hours. Choose the timezone, weekly available windows, slot granularity, buffer between appointments, and minimum lead time.

Send the flow to customers. Send the booking flow from the inbox, or via a template with a Flow button. The customer picks a service and an open slot; HexaFloww reserves it if it's still free.
The moment a slot is claimed, the customer and your admins are notified in the chat. Cancelling frees the slot; rescheduling moves it.
Reminders
Turn on reminders per service. Set one or more lead times (default: 24 hours and 3 hours before). Because reminders go out beyond WhatsApp's 24-hour window, each one must use an approved template with its placeholders mapped to booking details (service name, date, time, customer name, business name).
Reminders go to every confirmed booking (whether booked in chat or added by an admin) and are skipped only if the number is on the WhatsApp suppression list. Each reminder fires once; a failed one isn't retried.
Google Calendar sync
Connect a calendar at Connect Google Calendar, then switch on Google Calendar sync in a service's settings. Every confirmed booking for that service becomes a calendar event. The sync is one-way.
